Client Context

The client is a long-established residential real estate brokerage operating in Germany, with decades of market presence and a parallel rental arm.

Despite a relatively small staff, the firm handled high-value transactions in a regulatory environment with strict data protection requirements. The firm's clients had a strong preference for paper-based documentation, which was also required due to local regulations.

The business operated in both German and English, requiring all property data, documents, and proposals to be maintained consistently across both languages.

A legacy, internally built PHP application provided limited dynamic content but lacked true CMS flexibility, making regulatory adaptation, multilingual consistency, and operational change difficult.

The Problem

The client relied on a legacy PHP system that couldn't evolve with regulatory, operational, documentation, and multilingual requirements. Property structures were rigid, new disclosure fields required code changes, and the system couldn't reliably serve as the authoritative source for printed, legally binding proposals and agreements in both German and English.

Key challenges included:

Inflexible data structures

Property fields were fixed, preventing rapid adaptation to new regulatory requirements, property-specific attributes, or bilingual content needs.

Paper-first operational dependency

The system had to produce print-ready documents with exact layout control, as printed proposals and agreements in German and English were central to the sales process.

Severe regulatory and privacy risk

The platform handled sensitive EU citizen data in a German regulatory environment with low tolerance for compliance errors.

Low tolerance for tooling complexity

Non-technical staff required a foolproof system that minimized the risk of user errors across both supported languages.

Fragmented business operations

Sales and rental arms needed to operate within a single system without duplicating workflows or infrastructure.

Manual multilingual content management

Maintaining consistent German and English property data required duplicated effort and introduced risk of inconsistencies across documents and proposals.

The challenge was not content management alone, but building a secure operational system aligned with legal, regulatory, multilingual, and paper-based business realities.

The Solution

I designed and built a fully custom real estate CMS that became the operational backbone of the brokerage.

The solution addressed several architectural focus areas:

    Domain-driven CMS design

    A custom content model allowed the client to define, modify, and extend property fields without developer intervention, including language-specific fields where required.

    Unified multi-arm platform

    Sales and rental operations were consolidated into a single system designed to support additional business units if required.

    Paper-first document generation

    The system was engineered to produce print-ready outputs and PDFs with precise control over layout and formatting in both German and English.

    Advanced print customization

    Dynamic controls were implemented for image resolution, brightness, page breaks, and spacing to meet professional and regulatory requirements.

    Security-first data architecture

    All sensitive personal data was strongly encrypted at rest, rendering potentially stolen data unusable even in the event of a system breach.

    All frontend assets were self-hosted to avoid regulatory violations related to third-party hosting.

    Integrated bilingual content and auto-translation

    The system included built-in German–English support with automated translation of property content, allowing the client to work primarily in one language while maintaining accurate translations.
