The client was a small but strategically positioned logistics company operating in a highly regulated niche: the transportation of animals into and out of Germany. Only a limited number of operators were active in this space due to regulatory barriers, airline constraints, and operational complexity.

The company handled complex, high-stakes logistics requiring precise coordination across airlines, destinations, animal-specific requirements, and transport conditions. Pricing accuracy and response time were critical to winning and executing business.

The Problem

The company's quoting process was entirely manual and exceptionally complex. Quotes depended on many variables such as distance, airline, kennel size, animal type, and numerous conditional factors accumulated over years of operational experience. The logic was undocumented, implicit, and concentrated in the CEO's personal expertise.

Key challenges included:

Manual, non-scalable workflows

Preparing a single quote routinely took an hour or more, required significant manual effort, and could not be parallelized.

Executive bottleneck

Only the CEO was capable of producing accurate quotes, consuming senior management time and limiting business throughput.

The process was highly error-prone and dependent on institutional knowledge rather than a reliable system.

Failed prior system attempt

A previous custom development effort was abandoned without source code, leaving no viable foundation to build upon.

This was not a matter of optimizing an existing workflow, but of replacing a fragile, person-dependent process with a reliable system.

The Solution

I designed and delivered a custom quoting platform that externalized complex domain knowledge into deterministic, system-driven logic.

The solution addressed several architectural focus areas:

    Pricing logic and operational rules were extracted from the CEO and experienced staff and formalized into explicit system logic.

    A deterministic, parameter-driven quoting engine was implemented to handle complex combinations of variables consistently.

    A user-facing application was built to allow staff to generate quotes in real time during customer calls.

    The system generated professional quotes in email or Microsoft Word format for immediate delivery to customers.
