Mission-Critical Financial Operations Platform for a UK Contractor Accountancy Firm
Developed by R. Paulo Delgado.
A highly automated, Excel-centric financial operations platform was extended and stabilized to support increased scope, reliability, and long-term operational responsibility under live conditions.

Client Context
The direct client was a UK-based boutique consultancy specializing in advanced Excel-based systems for individuals and enterprise clients.
One of the consultancy's largest engagements was a UK accountancy firm serving approximately 2,000 contractor-owned LTD companies.
The accountancy firm operated a highly automated internal system used daily by approximately 50 staff to manage payroll calculations, deductions, document handling, approvals, and payouts.
The platform was central to the accountancy firm's operations, with failures directly impacting payroll execution, payment accuracy, and regulatory reporting obligations.
The Problem
The consultancy maintained a large, sophisticated Excel-based system backed by SQL Server that was already deeply embedded in the end client's daily operations. While fit for purpose, the system required ongoing extension, integration, and support beyond the consultancy's in-house technical capacity.
Key challenges included:
Mission-critical operational dependency
The platform was essential to daily payroll and financial operations. Any failure risked late payments, incorrect deductions, and regulatory exposure.
Excel-centric architecture with external integration needs
Core business logic and document generation were implemented in Excel, while new requirements demanded integration with external systems and services not directly accessible from Excel.
Expanding scope under legacy constraints
The system could not be re-architected or rewritten. All enhancements had to be delivered safely within an existing, heavily utilized production environment.
Consultancy skill ceiling
The consultancy required additional senior engineering capability to retain complex engagements and expand its service offering without outsourcing work externally.
This engagement focused on extending and safeguarding an already mission-critical system rather than redesigning it.
The Solution
I provided long-term, white-label senior engineering support that enabled the consultancy to expand system capabilities while maintaining operational stability for the end client.
The solution addressed several architectural focus areas:
- 1
Financial systems integration
Implemented bulk payment integration using SWIFT messaging for a tier-1 banking environment, adhering to strict bank-specific formats and validation requirements.
- 2
Document workflow platform
Designed and implemented a document approval, notification, and storage system integrated with the existing Excel-based document generation process.
- 3
Web-based contractor interaction
Built a secure web interface allowing contractors to access, review, and approve legally significant documents generated by internal systems.
- 4
CRM system redesign
Took over and redesigned a failing WPF/.NET CRM system, providing architectural guidance and implementation to restore functionality and preserve the consultancy's commercial engagement.
- 5
Ongoing operational support
Provided continuous support, yearly backend transitions, and targeted performance optimizations within SQL Server as required.
Architecture & Technology
Core Operational Platform
- Excel-based application as the primary operational interface
- SQL Server backend supporting persistence and operational data
- Heavy daily usage by internal staff across financial workflows
Integration Layer
- .NET-based services enabling external integrations not feasible directly from Excel
- SWIFT batch payment file generation for banking operations
- AWS-based document storage integration
Document & Web Systems
- PDF document handling and secure storage
- Secure web portal for contractor access and approvals
- Authentication integrated with the firm's existing website
Compliance & Operations
- Support for payroll-related financial accuracy
- Operational reliability aligned with HMRC reporting obligations
- Controlled changes within a live, production-critical environment
Execution & Delivery
The engagement evolved into a long-term white-label relationship centered on reliability, scope expansion, and operational continuity.
Key characteristics of delivery:
- Worked within strict legacy constraints without authority to restructure core systems
- Operated safely inside live financial and payroll workflows
- Delivered both planned feature expansions and reactive operational support
- Provided senior engineering capability that allowed the consultancy to retain and expand complex engagements
- Built trust through consistent reliability and rapid issue resolution
Responsibility increased over time as trust was established through consistent delivery under operational pressure.
Outcomes & Impact
- Expanded the functional scope of a mission-critical financial operations platform
- Enabled secure bulk payment processing through bank-grade SWIFT integration
- Introduced structured document approval and contractor interaction workflows
- Stabilized and salvaged a failing CRM system, preserving consultancy revenue
- Enabled the consultancy to operate beyond its original in-house technical limits
The platform remained Excel-centric, but its operational reach and resilience increased significantly.
Why This Project Matters
This project demonstrates the ability to:
- Operate safely inside live financial and payroll systems
- Extend non-traditional platforms beyond their original design limits
- Deliver senior technical capability under white-label constraints
- Maintain stability and reliability of critical systems over multiple years
- Enable consultancies to operate beyond their in-house technical skill ceiling
